8.Closing Paragraph
The closing paragraph is friendly and leaves good impression in the reader’s mind. It refers to future contacts. It contains a statement of the writer’s intentions, hopes and expectations about future actions, i.e. it serves as a summary of what has been discussed before and what is going to be the next step.
The closing line has standard expressions.
We look forward to trading with you to the mutual benefits of our companies. –
We hope to establish fruitful business relations with your company. –
We hope you will act as requested. –
We look forward to hearing from you soon. –
Your prompt (early) reply will be appreciated. –
9.Complimentary closing
The complimentary closing starts with a capital letter, and usually followed by a comma. Ending “Yours faithfully”, if you begin “Dear Sir”, and “Yours sincerely”, if you begin “Dear Mr. Smith”. In the USA the complimentary closing will be “Yours truly” or “Yours very truly”.
10.Signature
Business letters are signed by hand in ink, clearly and legibly. The writer’s name and title are typed below the signature. The name of the company or of the organization for which the writer signs the letter is typed under the complimentary closing (above the signature). Sometimes a letter is signed by an employee with special authority to sign,
e.g. Yours faithfully,
p.p. (per pro) The Oriental Trading Co. Ltd
F. Howard
Secretary
11.Enclosures and Postscripts
If there is an enclosure (enclosures) to the letter, it should be clearly indicated by typing the word “Enclosure” or its abbreviation “Enc”. It may preceded or followed by a figure indicating the number of enclosures if there is more than one, and the names of the documents in them, and the number of pages.
Enc: (3) Invoice (6 pages)
Postscript should be used as an emergency not as a normal conclusion only when information to be conveyed comes to hand after the letter proper has been completed. Otherwise it is a sign of bad construction of the letter. Postscript is abbreviated to PS (not P.S.).
Main Types of Business Letters
According to the purpose of the letter there may be quite a number of different kinds; main types of business letters are given below:
Enquiries (asking for information) and Requests.
Replies to Enquiries: Quotations, Offers.
Orders.
4. Complaints and Claims. Adjustments (dealing with complaints)
1. Enquiry and Request. Replies to Enquiries: Quotations, Offers. Orders
a) Enquiries and requests
Most letters of enquiry (also spelt inquiry) are short and simple. The writer of an enquiry states briefly and clearly what he is interested in, at what price and on what terms he could buy the goods required by him. Often the Buyer asks the Seller to send him illustrated catalogues, price lists or other publications and, if possible, samples or patterns of the goods he is interested in. A first enquiry should also include a brief mention of how you obtained your potential supplier’s name and some information about your company.
Here are some examples of letters. Read them and translate into Russian.
