4. Salutation
Starts with a capital letter and is usually followed by a comma but Americans use a colon instead of a comma. Most letters in English, formal and informal, begin with Dear…
If the letter is addressed to the company, the form of addressing is: Dear Sirs; if the letter is addressed to an individual, the most usual forms are: Dear Sir, Dear Madam (it applies to both married and single women). Americans prefer ”Gentlemen”. If you know the name of the person you are writing to, begin Dear Mr. Brown, Dear Miss Jones, Dear Mrs. Black. It is becoming more frequent to address women as Ms in business letters, whether you know they are married or not: Dear Ms Jackson.
5. Subject Heading
The Subject Heading indicates the subject-matter of the letter (its topic), thus enabling the reader to see immediately what the letter is about and is placed just after (below) the salutation and in the middle of the page. In front of it the wording “Re” (short of the Latin in re) meaning “regarding” is used or “Abt” (short for “About”) may be used. Or the Subject Heading is just underlined, it is sometimes written in capital letters. Or may be omitted. e.g. Dear Sir,

6. The Opening Paragraph
The first paragraph of a business letter refers to previous correspondence or gives an introduction to the subject. It often states the writer’s feelings on the subject: pleasure, regret, surprise or gratitude.

7. Body of the letter
The body of the letter gives all the information and details, starting with the most important. The style is simple, direct and positive. To make a letter easier to read and to a certain extent more attractive, divide it into paragraphs, each paragraph dealing with one idea, one aspect of the subject or giving one detail. If a letter is lengthy, the paragraphs may be given headings, which may be typed in ordinary or capital letters. There is much use of standard expressions. It often finishes with a reference to action: what you are doing, or what you want the reader to do.
