Деловое письмо должно быть кратким, ясным и содержать необходимую информацию. Необходимо избегать ненужных повторений, путаных и расплывчатых аргументов. Стиль письма простой, официально-деловой. В результате многолетней практики выработалась стандартная форма делового письма. По установившейся традиции структура его выглядит следующим образом:
Заголовок (название и адрес отправителя).
Дата отправления письма.
Название и адрес получателя.
Вступительное обращение.
5. Указание на содержание. 6. Основной текст письма..
7. Заключительное обращение, подпись.
ЗАГОЛОВОК преимущественно печатается типографским способом - это бланк фирмы или учреждения. Наиболее распространённые сокращения:
Co – company (компания); Ltd – Limited (Limited Liability Company) – акционерная компания с ограниченной ответственностью. В США вместо Ltd. употребляется Corp. – Corporation (корпорация) или Inc. – Incorporation (зарегистрировано как корпорация).
ДАТА пишется в правом верхнем углу письма:
25(th) July, 1977 – читается: the twenty-fifth of July, nineteen seventy-seven.
July 25(th), 1977 – читается: July the twenty-fifth, nineteen seventy-seven.
Порядковые числительные пишутся следующим образом:1st, 2nd, 3rd. Названия месяцев сокращаются: Jan., Feb., Apr., Sept., Aug., Oct., Nov., Dec., кроме: March, May, June, July.
ВНУТРЕННИЙ АДРЕС - название и адрес организации, которой адресуется письмо. Его обычно пишут на левой стороне листа, немного ниже даты. Если письмо пишется фирме или организации, в названии которой есть имена собственные, то перед названием ставится слово Messrs. (от фр. Messieurs ) – господа. Например: Messrs. Brown & Co., Messrs. White & Sons, Grain Importers.
Если обращаются к одному лицу, то ставят Mr., Mrs. или Miss, обычно с указанием его должности:

Перед названием организаций и фирм, не содержащих собственных имён, слово Messrs. не пишется, а часто ставится предлог То и определённый артикль. Например:

Когда отправитель письма, адресованного какой-нибудь организации, желает, чтобы письмо было прочитано определённым лицом в этой организации, то перед вступительным обращением (или под ним) ставится следующая надпись:

Attention of Mr. D. Brown Вниманию г-на Д.Брауна Attn.: Mr. D. Brown
ВСТУПИТЕЛЬНОЕ ОБРАЩЕНИЕ является обязательной и официальной формой. Оно пишется на левой стороне письма, сразу же под внутренним адресом. После обращений Dear Sir, или Dear Sirs, всегда ставится запятая. В США принято обращение Gentlemen:, после которого ставят двоеточие.
УКАЗАНИЕ НА СОДЕРЖАНИЕ ПИСЬМА помещают между вступительным обращением и текстом письма.

Re (ri)- от лат. in reу – по делу, касательно.
ОСНОВНОЙ ТЕКСТ ДЕЛОВОГО ПИСЬМА должен отличаться чёткостью и ясностью. Каждый новый вопрос следует писать с красной строки.
ЗАКЛЮЧИТЕЛЬНОЕ ОБРАЩЕНИЕ пишется в конце письма на правой стороне. Самыми распространёнными являются следующие формы:
Yours faithfully (Faithfully yours),
Yours truly (Truly yours),
Yours very truly,
После заключительного обращения ставится запятая, а ниже помещается подпись – фамилия с указанием должности лица, подписавшего письмо:
