Business etiquette
Телефонные разговоры, будь-то общение между сотрудниками различных отделов или же общение с деловыми партнерами из других городов или стран, составляют неотъемлемую часть жизни современного офиса. Если Вы хотите достичь успеха в бизнесе, то Вам необходимо овладеть искусством ведения телефонных разговоров и помнить их основные правила.
В офисе раздался звонок. Сотрудник учреждения, в обязанности которого входит отвечать на входящие звонки (как правило, это секретарь, референт или офис-менеджер), снимая трубку, здоровается, называет учреждение и предлагает звонящему свою помощь. Вежливо, кратко и сдержанно отвечает на вопросы. Выражение бурных эмоций как удовольствия, так и огорчения здесь не уместно.
Если Вы звоните caми, то не стоит начинать- разговор с выяснения того, с кем именно Вы разговариваете. После приветствия "Здравствуйте" или "добрый день", представьтесь и пригласите к телефону необходимого Вам человека или обратитесь с просьбой. Если Вы не знаете фамилию и имя того, с кем Вы хотели бы поговорить, то можно назвать должность и сразу же спросить, как зовут этого человека. Тогда Вам легче будет общаться с незнакомым собеседником.
Если Вы звоните в какую-нибудь фирму не конкретному человеку, а.с целью получения необходимой информации, то сразу объясните тому, кто поднял трубку, что Вы хотите узнать, поинтересовавшись также и тем, кто из работников фирмы '!может располагать подобной информацией. После окончания разговора обязательно попрощайтесь, но не забывайте, что звоните по делу и в рабочее время, поэтому не уместно, заканчивая разговор, желать малознакомым людям здоровья, успехов, удачи. Просто попрощайтесь, поблагодарив за разговор.
Помните, что в деловом разговоре ценится краткость и содержательность. Звоня кому-то в рабочее время, Вы вторгаетесь в рабочий процесс и не знаете, чем конкретно в эту минуту занят Ваш собеседник, поэтому будьте кратки.
Если звонят Вам, а у Вас деловые переговоры, которые
нельзя прервать, спросите у собеседника, сможет ли он перезвонить через 10, 20 или 30 минут, или перезвоните ему
сами по окончании переговоров.
Лица, присутствующие при телефонных разговорах, особенно частных, обязаны в дальнейшем никак не проявлять своей осведомленности. Личных разговоров по служебному телефону лучше не вести. Если Вам все же позвонили на работу не по служебному вопросу, лучше, извинившись, предложить звонящему обсудить проблему или решить вопрос позже.
