UNIT TWO

MEMORANDA. REPORTS.

МЕМОРАНДУМЫ. ОТЧЕТЫ.

PART I: MEMORANDA.

1. Read the text paying special attention to new words and word-combinations.

M;

emorandum1 is a short typed or written message sent from one person to another in an organisation. Some companies have pre-printed memo forms, while others have a house style for the layout of memos. There are several different formats, but they all have the same elements:

  • Hie name of the writer,

  • the name of the addressee,

  • me date,

  • the subject,

  • the body of the memo.

The first three should of course go at the top, but me order you put them in is up to you. So you might write in any of these forms:

To: Donald Price From: William Campbell Date: Date: 22 May 19%

the body of the memo

From: William Campbell To: Donald Price

Date: 22 May 19%

the body of the memo

1 memorandum.1: Sg., memoranda = PI. (лат)

26

Date: Date: 22 May 19%

To: Donald Price

From: William Campbell

the body of the memo

You don't have to use a heading in a memo, but it is sometimes a good idea to do so; it tells your reader what the memo is going to be about, and it saves you having to explain the subject in me memo itself. Your memo might, for example, read

To: Donald Price From: William Campbell Date: 22 May 1995

ARRANGEMENTS FOR GRADUATE INTERVIEWS

the body of the memo

This tells your reader immediately what to expect It also saves you having to include a sentence such as 'I would like to discuss this year's arrangements for graduate interviews.'

The body of the memo consists of your arrangements, or the points you want to make. Your headings might provide all the introduction you need, but you might have to write a short introductory paragraph as well, giving some of me background to your memo. Your last paragraph should indicate what action you want taken, your conclusions or recommendations or a summary of your arguments.
