Предисловие

Методические указания предназначены для студентов, обучающихся по специальности «ЭУП», и изучающих курс делового английского языка. Они содержат необходимую информацию о правилах написания делового письма: основные части и их расположение, виды писем и оформление, список наиболее употребительных выражений, а также комплекс упражнений, направленный на развитие и закрепление навыков написания делового письма.

Цель методических указаний – активизация деятельности студентов при обучении написанию делового письма. Эта цель достигается путем соблюдения последовательности этапов: от получения необходимой информации о правилах написания письма до составления писем в конкретной деловой ситуации. Все материалы методических указаний подобраны с учетом специфики той области, в которой студенты специализируются.

При составлении методических указаний были использованы самые различные источники, в том числе американские и английские учебники для изучения делового английского языка в области туризма, а также в качестве примеров писем были использован аутентичный материал.

Использование данных методических указаний позволяет развивать навыки письменного общения, необходимые студентам в их будущей профессии.

Standard Features of the Business Letter

If you want your business letter to be effective it must show neatness, accuracy, courtesy, efficiently concise and unpretentious statement, and adherence to standard form. Examine the standard features of the business letter:

1. The heading (заголовок, шапка). It is put at the top of the paper. It contains the full name of the person or organization, its address and also telephone, fax, and e-mail address.

2.Dateline. You can find the following ways of writing a date: American way: June 13, 2003

British way: 13 June 2003

3.Inside address. (адрес получателя). Include the name of the addressee, that person’s title or office, the name of the company or institution, and the full address. Note the correct order of writing an address: number of a house, name of the street, town/city/village, county/state, index, and country.

3. Salutation. (обращение). This formal greeting appears two lines lower than the inside address. When you are writing to an institution or a business, you may use Dear Sirs (in the USA – Gentlemen). When addressed to an individual within the firm, the salutation may be Dear Sir (Dear Madam). But you can avoid these possibly offensive ways of addressing by choosing a neutral salutation:

Dear Editor

Dear Sir or Madam

To Whom It May Concern

These salutations are also used when you do not know the name of the addressee. If you know the correspondent personally you may use:

Dear Mr Herbert Dear Mr and Mrs Richardson

Dear Ms. Diaz- Ms is now the preferred form for addressing a woman who has no other title such as Dr or Professor. Use Mrs or Miss only if your correspondent has put that title before her own typed name in a letter to you:

(Mrs) Estelle Brown.

4.Subject line. It is placed below the salutation and in the middle of the page. The subject line indicates the topic of the letter. So, it enables the reader to see immediately what the letter is about. In front of it “Re” (meaning regarding) was formerly used. Now “abt”(short of about) may be used, or the Subject Line is just underlined. This title to the letter, however, is not always required.

5.The body. The body of the letter is the text itself. Each paragraph should deal with one subject. It is better to avoid long paragraphs. Single-space the paragraphs of your letter but leave a double space between one paragraph and the text. If more pages that one are written, they should be numbered.

6.The complimentary closing. (заключительная форма вежливости) Type the complimentary closing two lines below the last line of the body. The most common formulas are:

Sincerely Sincerely yours Yours sincerely Best wishes Best regards

These are less formal than yours faithfully or yours truly which are put when in the salutation you have used Dear Sir/Sirs, Madam. If the recipient is addressed by his or her name, then the complimentary closing takes the form “Yours sincerely”.

7. Signature (подпись). First sign the letter by hand in ink, and then put your printed name. On the next line write the position in the company or the name of

the department you represent.
