Данное пособие включает упражнения, предназначенные для развития
навыков деловой переписки, понимания и перевода основных видов
коммерческой корреспонденции: запросов, предложений, котировок, заказов,
претензий и жалоб. Оно содержит образцы деловых писем на английском и
русском языках и наиболее часто используемые в них фразы-клише и
выражения.
Пособие может быть рекомендовано для аудиторной и
самостоятельной работы студентов и аспирантов учебных заведений
юридического профиля, а также для широкого круга лиц, желающих освоить
правила оформления деловой корреспонденции.

ПРЕДИСЛОВИЕ
Данное пособие предназначено для студентов вузов, изучающих
английский язык, и ставит своей целью развитие профессиональных навыков
специалистов любого профиля в области деловой переписки.
Широкое развитие внешнеэкономических связей делает особенно
актуальным умение вести деловую переписку в любой сфере деятельности
человека. Особый официально-деловой характер отношений между
партнерами по переписке определяет ее специфику, для которой
характерна официальность стиля, стандартизация и унификация
документов.
Письменной деловой речи свойственно широкое использование
стандартных клише, стереотипных выражений и фраз. Таким образом,
написание делового письма требует определенных умений и знания
композиционных и стилистических особенностей деловой корреспонденции.
Данное пособие состоит из трех частей: вступления, основной части
и англо-русского словаря фраз-клише, наиболее часто употребляемых в
коммерческой корреспонденции.
В первой вступительной части даются общие сведения о
композиционном оформлении и требованиях к написанию официального и
неофициального письма.
Основная часть включает в себя 5 разделов, в каждом из которых
представлены различные виды деловых писем: запросы, предложения,
котировки, заказы, претензии и жалобы. В каждый раздел включены
образцы писем, список наиболее часто используемых в данном виде письма
фраз и практические задания.
Последняя часть представляет собой англо-русский словарь наиболее
часто встречающихся в деловой корреспонденции фраз и стереотипных
выражений.
В пособии использованы современные оригинальные коммерческие
письма и документы.
Данное учебное пособие может быть использовано как в качестве
отдельного курса для аудиторной работы со студентами, так и
факультативно - по усмотрению преподавателей кафедры в зависимости
от уровня подготовки студентов.

NOTES:
1. Postal remarks such as: “Registered”, “Air Mail”, “Special Delivery”, “Express
delivery”, etc. are typed below the stamp(s).
2. A little lower on the left you may also see another line beginning with
“Attention of”, “Personal” or “Confidential”.
3. If a letter is sent to a person whose house address is unknown but who is
connected with some institution or a firm, there will appear one more line in the
address on the envelope – c/o (“care of”).

A BUSINESS LETTER
THE MAIN PARTS OF A BUSINESS LETTER
A business letter, as a rule, has 6 parts:
1. Heading
2. Body of a letter
3. Complimentary close
4. Inside address
5. Salutation
6. Signature
1.THE HEADING
The heading consists of the sender’s name, address and the letter’s date.
However, most business papers are printed with a letterhead giving the name of the
office as well as its address; so in the heading there must be written only the date.
Different variations are possible: July 19, 2005/ 19th July, 2005/ July 19th, 2005.
HE INSIDE ADDRESS

It contains the name and address of the institution or individual to whom the
letter is directed. The inside address is typed in the left-hand margin, two spaces
below the date or in social and informal letters – in the lower left-hand part of the
letter or three spaces below the signature.
The titles “Mr”, “Miss”, “Mrs” or a substitute form should never be omitted
from the inside address. However, never use “Mr” with a name when you are
writing “Esq” (Esquire) after it. The proper form is “B.J. Brown, Esq”. When
writing to a woman, always address her as she signs herself. When addressing
partners use “Messrs Brown B. Heyord”.

The titles, scientific degrees and professional occupations are placed after
the surname: “Mr. R.S. Smith, assistant professor”, “Mr. N.H. Bennet,
B.A.”(Bachelor of Arts). The titles “Dr”, “Prof”, “Rev” (Reverend), “Hon”
(Honorable) are placed before the names: “Dr. James Brown”, “Prof. Samuel
Johnson”. “Hon” is used for senators, congressmen, governors, ambassadors,
judges, heads of government departments.
3. THE SALUTATION
It should be written flush with the first line and two spaces below the last line
of the inside address. It is followed by a comma: Dear Sir, Sir (more formal), Dear
Sirs (the most usual form in England), Gentlemen (usually preferred in the USA),
Dear Madam (pl. Mesdames), Madam (more formal), Dear Mr. Long (less formal
– when writing to the correspondent you know personally).
4. THE BODY OF THE LETTER
It is the subject matter. It may consist of only one paragraph or as many as
necessary to convey the message. Each paragraph is placed two lines below the
previous one and should be written flush with all the other lines of the letter.
Many-paged letters should be numbered.
5. THE COMPLIMENTARY CLOSE
It is customary to close a letter with a closing salutation such as: “Yours
faithfully”; “Yours very truly”; “Yours respectfully” (in business and official
letters to institutions, firms, etc.); “Yours sincerely” (to colleagues); “Cordially
yours”, “Yours”, “Sincerely yours” (to friends and personal acquaintances).

6. THE SIGNATURE
The name of the person who wrote or dictated the letter should always be
written by hand.
When the writer represents an organization and its name is not printed in the
letterhead, the name should be typed to follow the signature:

Usually, the signature is typed first and the name of the sender is written by
hand above the signature.
When the letter is signed on behalf of another person, it should have the
following abbreviation: pp. =per pro (on behalf of) – “pp. J.B. Brown”.
SUPPLEMENTS IN OFFICIAL AND BUSINESS LETTERS
1. The attention line
: it is written two lines below the inside address if you want to
address your letter to the attention of a particular person. The attention line should
be underlined, sometimes it is abbreviated: “att:”

2. The subject line: it is written below the salutation. The words “Subject:” or
“Re:” (regarding) are typed before the subject matter and indicate what the letter is
about. The subject line should be underlined.
Example: Dear Sirs,
Subject: Your order of June 30, 20… or
Re: Portable typewriters
3. The reference line
: it is written on the same line as the date but against the lefthand margin. Sometimes it is placed in the bottom left-hand corner of the letter.
The reference gives the initials of the person dictating the letter, those of the typist
so that the letter could be easily identified: C.B./J.S. or CB/JS –indicating that
necessary for internal use.
4. The enclosure: (Encl:) – when something is enclosed with a letter – a notice, a
bill, etc. – attention should be called to it by writing “Enclosure’ or “Encl.” which
is typed under the typist’s reference and the item enclosed may be mentioned
specifically.
5. The abbreviation “CC”
means “circular correspondence”, i.e. corresponding
letters were dispatched to other people.
Example: Yours faithfully,
C.B. Smith
C.B./J.S.
CC: Mr Samuel Ferry
(It means that the letter has also been circulated to Samuel Ferry).
