INTRОDUCTION

Who is this book for? Business and Diplomatic Correspondence is a comprehensive intermediate to advanced course for junior and senior students and practicing professionals studying business and professional English. It is designed to develop writing skills. It also allows students to improve their language skills through variety of relevant and challenging tasks.

How is the book organized?The book has 3 parts, 5 appendixes. Part I (Business letters) provides information about business letters and is organized into seven units, contains supplementary exercises and tasks and can be used after learning and understanding

basic rules.

Part II (E-mail) informs students about ways of writing business, external and internal e-mails.

Part III (Diplomatic correspondence) provides information about such documents as diplomatic letter, note verbale and memorandum.

Parts consist of units and contain:

Basicrulessectioninformsstudentsaboutstandardsandprinciples of writing business letters.

Practice contains exercises designed to develop writing skills and are focused on vocabulary.

Task section is designed to improve writing skills. Different tasks enable students to consolidate and apply the knowledge they built up while working through the unit.

Appendix I contains authentic articles designed to encourage students to read extra information about diplomatic correspondence.

Appendix II provides definitions of diplomatic terms that can be used in letters, notes and memorandums.

Appendix III informs about foreign words and expressions that are used in diplomatic documents and correspondence.

AppendixIVcontainsmajordepartmentsoftheministryofforeign affairs of Russia.

Appendix V provides Russian — English basic vocabulary for writing business letters.

ПРЕДИСЛОВИЕ

Данное учебное пособие содержит базовые правила, необходимые для написания деловых, электронных и дипломатических писем и другой корреспонденции, а также различные виды упражнений, направленные на развитие и совершенствование навыков письменной речи.

Издание предназначено для студентов второго, третьего и четвертого курсов неязыковых вузов направления подготовки «Международные отношения» и «Зарубежное регионоведение» и может быть использовано студентами первого и второго курсов всех направлений подготовки.

Структура учебного материала представлена тремя едино­ образными частями:

Part I информирует студентов о написании деловых писем

исодержит упражнения для перевода предложений с русского языка на английский и задания на составление деловых писем (PRACTICAL TASKS). Целью заданий данного блока является совершенствование навыков письменной речи студентов.

Part II содержит информацию о написании деловых писем, а также объясняет различия в написании внутренних и внешних электронных переписок. Кроме того, в этой части представлены упражнения и ситуационные задания.

Part III знакомит студентов с правилами составления дипломатических писем, вербальных нот и меморандумов и содержит упражнения для перевода с английского на русский и с русского на английский язык, предназначенные для отработки речевых моделей.

Каждая часть состоит из тематических блоков, разбитых на:

Basic rules — содержит правила, примеры и языковые модели, необходимые для написания деловых писем.

Practice — включает задания, предназначенные для отра-

ботки лексических единиц и языковых моделей и представленные в определенной последовательности.

Task — состоит из заданий, которые помогают студентам закрепить языковые модели и усовершенствовать навыки пись-

менной речи. Все задания рекомендуется выполнять в письменном виде.

Также пособие снабжено приложениями:

Appendix I содержит аутентичный текстовый материал, который содержит дополнительную информацию по дипломатической корреспонденции и может быть использован для развития навыков просмотрового чтения.

Appendix II знакомит студентов с дипломатической терминологией.

Appendix III состоит из часто употребляемых фраз латин-

ского происхождения.

Appendix IV информирует студентов об основных отделах Министерства иностранных дел России на русском языке и их эквивалентах на английском языке.

Appendix V содержит базовые выражения, характерные для

ведения деловой переписки.

При работе с частями пособия авторы советуют студентам следовать структурной организации книги, которая строится по принципу постепенного усложнения заданий. При этом автономность блоков отдельных частей позволяет организовывать учебный процесс в соответствии с поставленными задачами определенного курса и уровнем подготовки студентов.

Учебное пособие апробировано при работе со студентами второго, третьего и четвертого курсов.

Part I. BUSINESS LETTERS

Unit 1.  Letter layout. The Date.

Opening and closing a letter

Contractions, colloquial vocabulary and run-on expressions.

We should start with language which is necessary to avoid in business letters. The first rule is never use contractions. Contractions are the words formed from two abbreviated words, such as "don’t", "can’t" and "won’t". We need to write the full words.

Secondly,donotusecolloquialvocabulary.Colloquialvocabulary includes words and expressions that are used in everyday spoken language.Theydonotprovidetheexactnessneededinbusinessletters.

Example: reached a happy medium (Colloquial Expression) — reached an acceptable compromise (Formal Alternative)

Thirdly, you should avoid using run-on expressions. Run-on expressions include phrases such as "and so forth", "and so on" or "etc". The rule is: try to complete the sentence properly; but if you can avoid, them do not use these.

Example: Public transport includes vehicles for public use on the roads, airways, waterways etc. (Informal)

Public transport includes vehicles for public use, such as buses, trains and aero planes (FormalAlternative).

Block style. There are many ways to lay out a letter. Block style or block format is typically used for business letters. Block format features all elements of the letter aligned to the left margin of the page. It has a neat and simple appearance. Paragraphs are separated by a double line space.

Let’s start with a letter layout.

Letter layout. Firstly, when writing a business letter, the layout of the letter is important. There are some rules which you should follow:

The name and address of the addressee are at the top on the left.

The date is on the right.

There is no punctuation in the address or after "Yours faithfully" or "Dear Sir".

The paragraphs start at the margin and there are line spaces between them.

The writer’s name and title are under the signature.

Note: In American style you should use a colon (:) after the salutation for business correspondence.

The Date. The second important thing is the date. You should write the date like this: 12 June 2017. When you write date in figures 12 06 17, it is the twelfth of June in Britain but it is the sixth of December in the USA.

Don’t forget to use the capital letter for the month: June. You should not write th, rd, nd and st after the day.

Opening and closing a letter. Here are the ways tо open your letter.

You write:

Dear Sirs — to a company

Dear Sir — to a man if you don’t know his name

Dear Madam — to a woman if you don’t know her name Dear Mr Smith — to a man

Dear Mrs Smith — to a married woman Dear Miss Smith — to an unmarried woman

Dear Ms Smith — to a married or unmarried woman Dear John — to a friend or someone you know well

But it’s a mistake to open a letter with "Dear Ann Brown" or "Dear MrsAnn".

The way you close your letter depends on how you open it. If you know the name you should end "sincerely"; if you don’t know the name you end "faithfully".

Dear Sirs (Sir, Madam) — Yours faithfully

Dear Mr (Mrs, Miss, Ms) Smith — Yours sincerely

Dear John — Best wishes

Note: "Yours faithfully" is not used in American English. "Sincerely" or "Yours truly" would be used instead.

Subject Headings. The subject heading or subject line usually says what the letter is about. It is not always necessary in a business letter.Butontheotherhanditcanbehelpful,asitimmediatelyconveys to the reader the subject of the letter. Moreover, it helps to give your letter to the right person.

The subject heading is identified by use of the terms "Re:", which means "In regards to", or just "Subject". You can also type the subject in capital letters.

The subject heading is usually placed between the salutation and the body of the letter (with a blank line in between).

Dear MrAlexander

Subject: Order No 579

With reference to the above order, …

In American English the subject heading can be placed between the recipient’s address and the salutation (with a blank line in between).

Subject: Order No 136/05 Dear Mrs White

The above-mentioned order of computers has arrived.
