Unit 4.  Saying what you can and cannot do. Giving reasons. Requesting action

Saying what you can and cannot do. Instead of using modal verbs you should take into account the follow phrases:

We are unable to…

We are able to …

We have been forced to…

Example: I am pleased to inform you that we are able to offer a 10 % discount.

I regret pleased to inform you that we are unable to offer a 10 % discount.

Giving reasons. After telling what you can and cannot do it is necessary to give reasons.

You should use the following phases:

This is owing to… due to…

as a result of… because of…

Note: "Owing to" is normally only used for bad news. If you want to use a verb after these phrases, add the fact that.

Example: This is due to the fact that the dollar has fallen.

Requesting action. You also need to know the ways of asking people to do something for us.

We would be grateful if you could…

as soon as possible

Please could you…

without delay

We would appreciate it if you could…

immediately

 

(You should add the following

 

words and phrases if you

 

need it urgently)

 

 

Note: "Please could you…" is the most direct. You should use this phrase when you ask for something usual.

Example: Please could you tell your clients that they must check in at Tolmachovo Airport at 8 a. m.

Exercise 1. Saying what you can and cannot do. How will you give the following information?

2.You can increase salary by 5 %.

3.You can accept payment in German marks.

4.You have to raise your prices because the government has increased the sales tax.

Exercise 2. Giving reasons. Complete the sentences.

Example: Increase prices — fall the dollar

We have been forced to increase our prices. This is owing to the fall of the dollar.

Unit 5. Apologizing. Requesting information

Apologizing.Nowweshoulddiscusshowtoapologyinabusiness letter. The point is that a successful apology can turn a negative experience into a positive one, an upset customer into a loyal one, and a bad reputation into a great one.

We are extremely sorry for…

Notes:phrases.— you should use "-ing" form (gerund) after these

Example: We are extremely sorry for losing your letter.

You also can say "We are extremely sorry that…"

Example: We are extremely sorry that we lost your letter.

You should also keep in mind that it is polite to give the reason for the problem (See Unit 4) and then apologize again at the end of your letter.

Please accept our apologies once again.

We hope that this has not caused you any inconvenience. With apologies once again.

Requesting information. This part is not absolutely new. In Unit 4 we have already discussed how to request some actions. So, you should pay attention to the following phrases:

Note: If you want specific information, say:

In particular, + one of the phrases "Requesting information".

Example: I would be grateful if you could give me some more information about the post. In particular, I would like to know the number of days’ holiday, the working hours and the starting salary.
