Письмо-подтверждение направляют в двух случаях:

5.5.Письмо-приглашение
Письмо-приглашение можно рассматривать как часть делового этикета, в котором существуют свои правила и нормы. Поводом для приглашения могут послужить переговоры, ознакомление партнера с работой вашей компании, проведение партнерами совместных собраний, конференций, официальных или торжественных мероприятий (презентаций, приемов и т.д.). Уровень мероприятия диктует форму и стиль направляемого приглашения. Если речь идет о рабочей деловой поездке или обычных деловых переговорах, то достаточно подготовить деловое письмо-приглашение. Например:

We have the pleasure to invite you to visit our company for the purpose of discussing our further cooperation. We suggest that the meeting should be held in Moscow on the 15th August this year. Please let us know if this time is convenient for you.

Правила делового этикета требуют непременного ответа на приглашение независимо от того, сможете (или захотите) вы принять его или нет. В любом случае необходимо поблагодарить приглашающую сторону за проявленное внимание.
В случае если вы принимаете приглашение, можно послать следующий ответ:
