In spite of telephone, telex and telegraphic communication ihe writing of letten> remains an essential part ol'business. Particularly so because most telephoned and telegraphed communications have to be confirmed in writing.
The layout and presentation of Ihe letter are important as they give the reader the first impression of the writer's (firm's) efficiency.
The letter should be neither too long nor too short. It must contain ihe information the reader expects to get.
As well as containing the right amount of in formation the letter should be logical. The way to get the right amount of information and to get it in the right order is by planning your letter in advance. Note down everything you want to include in it before you stall writing. When you have written the letter, read it through carefully; see that you have in it everything you intended, and have expressed it well; read it again, trying to put yourself in the place of the receiver, to find out what impression your letter will make.
Be careful about dates and figures which can cause confusion. Careless mistakes in the letter can create a bad impression on the reader. Spelling, punctuation and grammar should be checked carefully. Inaccuracy may spoil your letter. The style must be simple, clear and courteous.
