Text в Business Letter Writing Structure of a Business Letter

Letter writing is an essential part of business. In spite of telephone and other means of communication the writing of letters continues.

There are accepted habits arid traditions in the layout of business let­ters. They are gradually changing, but there are some basic rules which remain. The business letter is usually typed on the letter-paper of the firm and consists of several principal parts: 1) the letterhead, 2) the date, 3) the' addressee's name and address, 4) me salutation, 5) the message, 6) the com­plimentary close, 7) the writer's signature and official position.

1. The letterhead

The letterhead identifies the company, presents the company logo and gives the name and address of the company, telephone/fax numbers, telex,

e-mail and website address. For companies registered in the United King­dom with limited liability the word Limited (Lit!) or Public Limited Compa­ny (Pic) must follow the name. In the United States, companies formed with limited liability use the word Inc. (Incorporated).

2. The date

Always type the date in full, in the logical order of day, month, year:

Date: 20 September 200...

The month in the date should not be written in figures as they can be confusing: for example, 1I.OJ.02 means II"1 January 2002 in the U К, but F November 2002 in the USA.

3. Addressee's name and address

The name and address of the firm written to are typed on the left-hand side of the letter,

Courtesy titles

The courtesy titles used in business correspondence are Mr, Mrs, Ms, Messrs. When your correspondent has a special title, such as Doc­tor, Professor, Sir, he is addressed by his title and Mr must not be used, We write Dr. J. Brown, Prof. L Carter, Sir Arnold Plant.

The use of Messrs, (an abbreviated form of Messieurs) h not con­sidered necessary in front of the name of a limited company, U is correct to use "Messrs." in addressing a partnership.
