Unit 20. TYPES OF BUSINESS LETTERS
1. Letter of inquiry and request
Exercise 1. Study the following words and word combinations:
1. request / inquiry
2. go back and forth
3. ascertain
4. recipient
5. vaguely
6. purpose
запрос
циркулировать
выяснять
получатель
неясно, размыто
цель
Exercise 2. Read and translate the text:
A large number of business letter are written to ask questions and make requests. As a result, an almost equal number of letters are prepared to respond to these. In fact, a letter of request or inquiry may be the start of a cycle of letters that go back and forth between two people or two organizations.
Inquiry Letter is a letter written to request information and/or ascer- tain its authenticity. A letter of inquiry deals with various matters like job vacancies, funding, grants, scholarships, projects, sales, pre-proposals and others. The term is common in various business setups as it implies fund request or pre-proposal information.
Because these kinds of letters need the recipient to respond, it is important to write them in such way that you get a favorable response.
At rst, letters of request may look easy, but they require the same kind of thought, planning, and revision as many good composition. If your question is worded vaguely, the reader may have to guess what you want. If you ask too forcefully for something, the reader may be offended and ignore your letter completely or put off doing anything about it. The pur- pose of this kind of letter is to get someone, whom you probably don’t know, to do you a favour. Often in cases like these, stating the reason for your request or showing how the recipient can benet from it can be persuasive. A successful request letter, therefore, demands good clear questions and a polite, persuasive tone.
84
If you have several questions, it is acceptable to present them in a num-
bered list.

As we still need a bit more money could we ask you a favour? Do you know of any groups who might donate money or provide rate reductions (or even free services) for things like accommodation, transportation, or entry fees? We would appreciate any information you can provide. Thank you on behalf of the group for your time and assistance. Sincerely, Margaret Stonechild

Exercise 2. Read and translate the text:
The next type of business letters is the letter of application.
Many employers hire new employees depending on the quality of the letters they receive. In a letter of application, you are really promoting yourself and selling your skills. You want to interest the audience (the reader) in your qualications so that he/she will think you are right for the job. The real purpose of a letter of application is to get a job interview.
In the rst paragraph, say clearly which job you are applying for and how you found out that the job was available.
In the second paragraph, tell the reader about specic skills and work experience that relate directly to the position you want to get. Focus on the skills and abilities you can offer the company. Never say you want the job because you need the money.
In the third and last paragraph, state the purpose of your letter and ask for an interview. Be sure to thank the reader for looking at your letter and
