Change Management Workflows

Note

When the Windchill 8.0 out-of-the-box Change Management workflows are run in Windchill 10.x, the user will see the activity variables in the task details page that are defined in the 8.0 workflow templates, instead of the activity variables that are defined in the 10.x workflow templates. Additionally, when running the Windchill 8.0 Change Management workflows, the user might see two Comment fields on the task details page; one for a defined activity variable and one for the Routing History table.

The following section provides out-of-the-box workflow templates specific to Change Management. Each is listed below along with a summary of the steps in each workflow.

Change Activity Workflow

1.Synch on Change Notice Implementation

Waits for the Change Notice workflow to emit a CHANGE IMPLEMENTATION event proceeding. For more information, see How Change Notice and Change Activity Workflows Work Together on page 368

2.Complete change notice task

Review the assigned change notice task, specify edits to the affected data, and submit the completed task.

3.Review change notice task

Review the data modifications resulting from the preceding step and approve or reject the modifications.

4.Rework change notice task

According to the reviewer’s instructions, perform the required modifications and resubmit them for audit.

Change Notice Workflow

1.Submit change notice

Submit change notice to the system.

2.Assignee or reviewer conflicts

If necessary, resolve any assignee or reviewer conflicts by updating the change notice or change task with a user or role as a valid assignee or reviewer and completing the task.

3.Schedule CIB review

If the change notice has full track complexity, schedule and facilitate the Change Implementation Board (CIB) review and record the CIB decision.

4.Synch on CA complete

Sends the CHANGE IMPLEMENTATION event to all Change Activity workflows associated with the change notice. As each change task reaches the Resolved state, the CHANGE IMPLEMENTATION event is re-emitted if the next sequence is scheduled. For more information, see How Change Notice and Change Activity Workflows Work Together on page 368

5.Amend change notice

If necessary, amend the change notice plan based on the CIB’s review and resubmit to the CIB.

6.Audit change notice

Review the change notice data modifications and approve or reject the change notice implementation.

7.Rework change notice task

Rework change notice task and resubmit to Change Administrator II for audit.

8.Resolve release conflicts

If necessary, resolve existing release conflicts.

9.Revise change notice

If necessary (and revisioning is enabled), revise the change notice based on the CIB’s review.

How Change Notice and Change Activity Workflows Work

Together

If you have Windchill ProjectLink installed, change tasks can be divided into blocks of tasks that execute according to a defined sequence. This feature is enabled by setting the Change Management Sequenced Plan Execution Order preference to Yes in the Preference Management utility.

Note

If you have customized Change Activity workflows from a previous release of Windchill, the workflows will function as though there is no sequence plan. To use the sequencing feature, update the Change Activity workflow template to listen for the CHANGE IMPLEMENTATION event.

When the Change Notice workflow reaches the Synch on CA Complete synchronization robot, it initially emits a CHANGE IMPLEMENTATION event. The Change Activity workflows associated with the change tasks listen for this event with the Synch on Change Notice Implementation synchronization robot and, when the event is received, determine if the Change Activity workflow should proceed.

In the example, there is a sequence plan and Change Task 1 is the first sequence in the plan. When the CHANGE IMPLEMENTATION event emits for the first time, the workflow associated with Change Task 1 proceeds. Change Task 2 and Change Task 3, which are later in the sequence, do not proceed. The

Complete synchronization robot in the Change Notice workflow listens for when change tasks change state. When Change Task 1 resolves, the Change Notice workflow emits another CHANGE IMPLEMENTATION event. At this time, the Change Task 2 and Change Task 3 workflows proceed. When both change tasks resolve, the sequence plan is complete and the Change Notice workflow moves on to the activity.

If there is no sequence plan, the Synch on CA Complete synchronization robot emits a CHANGE IMPLEMENTATION event. At that time, all Change Activity workflows for existing change tasks proceed. If another change task is added while the change notice is in the Implementation state, the Change Activity workflow for the new change task automatically proceeds. When all change tasks complete, the Change Notice workflow moves on to the Audit Change Notice activity.
