•When a user-defined group is deleted, it is automatically removed from the list of participants in any workflow process template. The group is also removed from any role mappings created as part of a life cycle or team definition.

•If a user-defined group is identified as a participant in a workflow template definition, and that group is deleted from the system after the workflow has been initiated, any task that would have been assigned to the group is reassigned to the responsible role. Generally, the responsible role is the user who initiated the workflow process.

By deleting a user-defined group from both the Windchill database and the directory service, the user-defined group is not included in search results and all results described earlier for deleting a group from the Windchill database also apply.

If a user-defined group is not removed from the directory service, a new group object is created in Windchill database when the group is selected from a search. This new group object is not the same object that was deleted and all of the results of the earlier deletion are still true. For example, the users who had been members of the group are no longer members.

Managing Organizations

Manage organization objects, also known as organization participants, from the

Participant Administration table. Clicking the add participants to the table icon allows you to search for existing organization participants and add them to the

Participant Administration table. Clicking the new organization icon allows you to create a new organization participant.

Note

Creating an organization participant in the Participant Administration utility does not create an organization context, it only creates the participant. Both the organization participant and its context can be created from the Organizations page (visible only to site administrators), accessed by clicking the View All link under Organizations . Click the new organization icon at the top of the Organizations table. When creating an organization context, you can associate the context with either an existing organization (that is not already associated with a context) or you can create a new organization.

Organization participants created using the Participant Administration utility are considered restricted organizations. This means that no access control rules are automatically added to allow users in one organization to see users and groups from other organizations. When you create an organization context, you can select

a checkbox that allows users in the organization to see all users and groups. This adds the organization to the Unrestricted Organizations group, which has the access control rules set to allow users to see other users and groups.

Organization participants can be used to identify an organization as the owner of specific parts and documents. By default, Windchill solutions are not set up to allow organization ownership selection. The organization under which the parts and documents are created automatically own them. There are multiple steps involved in enabling organization ownership selection, one of which is creating the organization participants.

Managing organizations includes performing the following activities:

•Creating organization participants

•Searching for organization participants

•Editing and deleting organization participants

When deleting organization participants, you can delete them from just the Windchill database or delete them from both the database and the directory service.

•Viewing information about organization participants

•Adding profiles for organization participants

•Purging organization participants from the cache

For specific instructions on how to perform these activities, access the help available from the Participant Administration utility.

Note

When specifying the internet domain name of an organization, the name you enter can contain only alphanumeric characters and the hyphen (-) character. Do not enter any other types of characters in the name.

The following section provides additional information about deleting organization participants.

Deleting Organizations

Caution

Do not delete an organization participant unless you understand how it affects the system, as described in this section.

Note

You cannot delete an organization participant that is associated with an organization context.

There are two actions that result in deleting an organization participant. They are:

•Delete from Windchill

•Delete from Windchill and Directory Server

The first action has the effect of deleting the organization participant from the Windchill database. The second action deletes the organization participant from both the Windchill database and the directory service. To use the second action, you must have the required permissions to be able to delete organization participants from the directory service as well as the database.

The results of deleting an organization participant from the Windchill database are as follows:

•The organization is removed from all notification lists.

•All access control rules that identify this organization are removed from the access control policy for a domain. If any users had access permissions derived solely from membership in the deleted organization, it may be necessary to create new rules to restore the lost permissions.

•If the organization had been added to a local or shared team, the team membership shows the organization as deleted and, if a user was a member of the team only because he or she is a member of the deleted organization, then the user is no longer a member of the team. The deleted organization remains on the Members table so that anyone managing a team is aware of the deletion. The deleted organization row can then be removed from the Members table since the organization is no longer a member of the team.

When an organization participant is deleted from both the Windchill database and the directory service, it results in the above points in addition to the organization no longer being included in search results.
