UNIT 4 COMMUNICATION
4.1 Getting started.
Much of our daily life is spent in communication with family, friends, school or work colleagues, either in speech or in writing. We are also often receiving communications from others, whether on radio, TV or in print. Thousands of messages are being transmitted and received, some trivial and simple, some complex and important. For a number of reasons it is quite likely that some of these messages are misunderstood and misinterpreted.
In this unit we set out the various types of communication mechanisms which are used in organizations, indicating their strengths and weaknesses and the factors which may cause communication to break down.
When something goes wrong in an organization, it is likely that the person blamed for the problem will in turn blame a breakdown in communication. This would probably be correct, since 80% of management time is spent communicating with others in the process of controlling and directing the activities of the organization, and there are many ways in which breakdown of communication might occur. The bigger the organization, the more probable it is that lengthening lines of communication and the complexity of the structure of the organization may cause messages to be diverted down the wrong channel, go astray or be misinterpreted.
Discuss the following points:
1. In any communication model, noise is interference with the decoding of messages sent over a channel by an encoder. For example organizational noise affects manager-to-subordinate communication. How do you think unclear and badly stated directions affect the employee’s performance?
