Management can be defined as the process of administering and controlling the affairs of the organization, irrespective of its nature, type, structure and size. It is an act of creating and maintaining such a business environment wherein the members of the organization can work together, and achieve business objectives efficiently and effectively. It takes part in every step of an organization, gives direction and aligns resources in order to achieve goals. Since organizations are viewed as systems, management is also defined as human action to facilitate the production of useful outcomes from a system. This view includes how workers “control” themselves and use self-management as a prerequisite for effective management of other people.

The term “levels of management” means a line of demarcation between various managerial positions in an organization. Levels of management are classified into three broad categories: top level administration, middle level management of executing organizational objectives, and first level supervision of tasks and employees.

Management operates through functions that are often identified as planning, organizing, staffing, leading/directing, controlling/monitoring and motivation.

Planning enables to map out exactly how to achieve particular goals, generate plans for actions and decide what needs to happen in the future. Organizing expects to implement patterns of relationships among workers and make optimum use of resources to carry out plans. Resourcing encompasses the deployment and manipulation of human, financial, technological and natural resources. Staffing involves job analysis, recruitment and hiring for appropriate jobs. A human resource department is essential to accomplishing this goal. Leading/directing determines what needs to be done and getting people to do it. Controlling/monitoring comprises checking progress against plans and taking any corrective actions necessary to make sure that plans remain on track. Motivation is a basic function of management because employees cannot work effectively without motivation. In this case employees may not contribute to other organizational functions and priorities. All levels of management perform these functions, but the amount of time a manager spends on each function depends on the level of management and the needs of the organization.

Top level managers include the board of directors, president, vice-president, CEOs and others. They are responsible for controlling and overseeing the entire organization. Top level managers develop goals, strategic plans, company’s policies and make decisions. They also play a significant role in the mobilization of outside resources and are accountable to shareholders and the general public.

Middle level managers are presented by general managers, branch managers and department managers. They are accountable to the top management for the functions of their departments. Managers of this level devote more time to organizational and directional concerns. Their roles can be emphasized as executing organizational plans in conformance with the company’s policies and objectives. This includes being able to define and discuss information and top management policies with lower management and, most importantly, provide lower level managers with guidance and inspiration for high performance.

Among first level managers there are supervisors, section leaders, foremen, and others whose functions are controlling and directing. They usually have the responsibility of assigning employees’ tasks, guiding and supervising their daily activities, ensuring quality and quantity production, making recommendations, and solving employees’ problems.

STRATEGIC MANAGEMENT

Strategic management is the comprehensive collection of ongoing activities

and processes that organizations use to systematically coordinate and align resources and actions with mission, vision and strategy throughout an organization. It is a way in which strategists set the objectives and proceed about attaining them. It deals with making and implementing decisions about future direction of an organization. It helps us to identify the direction in which an organization is moving.

Strategic management activities transform the static plan into the system providing strategic performance feedback to decision making. It enables the plan to evolve and grow as requirements and other circumstances change. This type of management identifies and descripts the strategies that managers can carry to achieve better performance and a competitive advantage for their organization. An organization is said to have competitive advantage if its profitability is higher than the average profitability for all companies in its industry.

Dr. Jagdish Sheth, a respected authority on marketing and strategic planning, created the framework for understanding strategic management. It entails attention to the "big picture" and the willingness to adapt to changing circumstances. The structure involves formulation of the organization's future mission in light of changing external factors such as regulation, competition, and technology. Another important element is customers’ development of a competitive strategy.

It is necessary for achieving the mission creation of an organizational structure which will deploy resources to successfully carry out its competitive strategy. Strategic management is adaptive and keeps an organization relevant.

To implement elements of strategic management managers must have a thorough knowledge and analysis of the general and competitive organizational environment. They should conduct a SWOT Analysis (Strengths, Weaknesses, Opportunities, and Threats). Strategists must make best possible utilization of strengths and minimize the organizational weaknesses. They also should make use of arising opportunities from the business environment and shouldn’t ignore the threats. Strategic management is nothing but planning for both predictable as well as unfeasible contingencies. It is applicable to small and large organizations. Even the smallest organization faces competition and, by formulating and implementing appropriate strategies, can attain sustainable competitive advantage.

……There are four components in the strategic management process:

Environmental scanning refers to a process of collecting, scrutinizing and providing information for strategic purposes. It helps in analyzing the internal and external factors influencing an organization.

Strategy formulation is the process of deciding the best course of action for accomplishing organizational objectives and hence achieving organizational purpose. After conducting environment scanning, managers formulate corporative business and functional strategies.

Strategy implementation implies making the strategy work as intended or putting the organization’s chosen strategy into action. It includes designing the organization’s structure, distributing resources, developing decision making process, and managing human resources.

Strategy evaluation is the final step of strategy management process. Its key activities are: appraising internal and external factors that are the root of present strategies, measuring performance, and taking appropriate actions. Evaluation makes sure that the organizational strategy as well as its implementation meets the organizational objectives.

These components are steps carried in chronological order when creating a new strategic management plan. Present businesses will revert to them as per the situation’s requirement, so as to make essential changes.

Strategic Management gives a broader perspective to the employees of an organization. They can better understand how their job fits into the entire organizational plan and how it is co-related to other organizational members. It is nothing but the art of managing employees in a manner which maximizes the ability of achieving business objectives. The employees become more trustworthy, more committed and more satisfied as they can co-relate themselves very well with each

organizational task. They can understand the reaction of environmental changes on the organization and the probable response of the organization with the help of strategic management. Thus the employees can judge the impact of such changes on their own job and can effectively face the changes. The managers and employees must do appropriate things in appropriate manner. They need to be both effective as well as efficient. One of the major roles of strategic management is to incorporate various functional areas of the organization completely and to ensure these functional areas harmonize and get together well. Another role of strategic management is to keep a continuous eye on the goals and objectives of the organization.

……Strategic management is a continuous process that estimates and controls the business and the industries in which an organization is involved. It evaluates its competitors and sets goals and strategies to meet all existing and potential competitors. And finally it reevaluates strategies on a regular basis to determine how it has been implemented and whether it was successful or if it needs replacement.

Quality management is the act of overseeing all activities and tasks that must be accomplished to maintain a desired level of excellence. This includes the determination of a quality policy, creating and implementing quality planning and assurance, and quality control and quality improvement. In general, quality management focuses on long-term goals through the implementation of short-term initiatives.

Quality Management is a system used by all types of businesses throughout the world. It can help any type of business provide consumers with the best products or services. It is possible by coordinating its activities, which leads to an increase in its effectiveness and efficiency. There are many different types of quality management system utilized by companies. They give a business the opportunity to monitor and measure the quality of its products or services offered to consumers. An effective quality management system helps an organization to increase its

competitive edge, augment its organizational development, highlight its customer satisfaction, and more.

Quality management was introduced by Henry Ford and Frederick Winslow Taylor in the late 1800s. They were the first who realized what limitations existed in mass production. Quality management started with the spot-checking of products as they rolled off the finish line. Fairly soon, however, it was realized that this was not enough to guarantee quality with every single item. As a job, quality has grown considerably, and today it ranks as a recognized specialty among the other well-defined professions such as engineering, accounting and medicine.

Quality has become much more significant since the world's demand for products has grown exponentially. Competition has been a strong factor and so has something known as "the global village" (where companies are competing on a global level). Probably the most significant change has been the change in society, which has driven a demand that never existed before. And this global sea-change has made a significant difference to any quality considerations.

The appearance of quality methods dates back to the late 19th century. Modern quality management system is contained in Six Sigma, which attempts to control quality improvement through statistics. Since improvement is achieved by making sure every single item measures up to strict quality criteria, a statistical method is a highly useful method of quality control because it focuses on achieving quality in quantity.

Currently Quality Management System (QMS) is expressed as resources, processes, procedures and organizational structure required for quality management. Resources need specific technology and a share on the networked computer system. Processes along with a new set of procedures must be taught and learnt by participants in the scheme. And most importantly, in order to manage the system, an organization should be built to support it.

The concept of Quality Management is described by the International Organization for Standardization in ISO9001:2008. It gives good information on design, development and delivery of a services complying with QMS.

In 1992 the European Foundation for Quality Management adopted an award (EQA) for companies demonstrating excellence in their management of quality. It also estimates their approach to total quality management contributed to the satisfaction of customers, employees, and other stakeholders. The nine first-level categories of the EQA model are: leadership, policy and strategy, people management, resources, processes, customer satisfaction, people satisfaction, impact on society, and business results.

Human resource management (HRM) is the process of acquiring, training, appraising, and compensating employees, and of attending to their labor relations, health and safety, and fairness concerns. It is the function within an organization that focuses on recruitment, management, and providing direction for the people who work in the organization

HRM is a strategic and comprehensive approach to managing people and the workplace culture and environment. Effective HRM enables employees to contribute effectively and productively to the overall company direction and the accomplishment of the organization's goals and objectives. This type of management is moving away from traditional personnel, administration, and transactional roles, which are increasingly outsourced. It is now expected to add value to the strategic utilization of employees and that employee programs impact the business in measurable ways. Its new role involves strategic direction and HRM metrics and measurements to demonstrate value.

Fundamentally, human resource management is based on the assumption that employees are individuals with varying goals and needs. Human resources should not be categorized with basic business resources (trucks, filing cabinets, etc.). Practicing good human resource management enables managers of an enterprise to express their goals with specificity, increasing worker comprehension of goals, and provide the necessary resources to promote successfully accomplishment of the goals. When HRM is properly employed members of the workforce are expressive of the goals and operating practices of the firm.

HRM is seen by practitioners in the field as a more innovative view of workplace management than the traditional approach. Its techniques force the managers to express their goals so that they can be understood and undertaken by the workforce, and to provide the resources needed for them to successfully accomplish their assignments. As such, HRM techniques, when properly practiced, are expressive of the goals and operating practices of the enterprise overall. HRM is also seen by many to have a key role in risk reduction within organizations

These processes can be performed in an HR department, but some tasks can also be outsourced or performed by line-managers or other departments. When effectively integrated they provide significant economic benefit to the company.

INFORMATION MANAGEMENT

All businesses share one common asset, information, regardless of the type of business. It does not matter if they manufacture goods or provide services. Information is a vital part of any business entity, whether a sole proprietorship or a multinational corporation. It enables to determine the need to create new products and services. Information tells companies to move into new markets or to withdraw from other markets. Without information, the goods are not produced, the orders are not placed, the materials are not procured, the shipments are not delivered, the customers are not billed, and the business cannot survive.

But information has far lesser impact when presented as raw data. In order to maximize the value of information, it must be captured, analyzed, quantified, compiled, manipulated, made accessible, and shared. In order to accomplish those tasks, an information system (IS) must be designed, developed, administered, and maintained.

Information Management (IM) has developed out of the perception that information is crucially important to the success of business organizations and to the productivity of public sector agencies. It is the organized approach to gathering information from business operations to help in management decision making. It can be defined as the accumulation and administration of information from one or more sources and its distribution to one or more audiences.

Information management is a corporate responsibility that needs to be addressed and followed from the upper most senior levels of management to the front line worker. Organizations must be held and must hold its employees accountable to capture, manage, store, share, preserve and deliver information appropriately and responsibly. Part of that responsibility lies in training the organization to become familiar with the policies, processes, technologies and best practices in IM.

An organized approach to the study of information needs of an organization's management at every level to make operational, tactical, and strategic decisions. Its objective is to design and implement procedures, processes, and routines that provide suitably detailed reports in an accurate, consistent, and timely manner. So, in a management information system, relevant data is gathered, both from inside and outside an organization. For further processing, integrating, and storage data there are several elements of information management:

Documentaring and recording management is the most crucial aspect of any information

system comprising accounting, financial, manufacturing, marketing, and human resources. Collaborative tools, software or hardware, serve as a base for the sharing of data and

information, both internally and externally. They allow the exchange of information between users and the sharing of resources.

Data mining, or the process of analyzing empirical data, helps to extrapolate information then used in forecasting and defining trends.

Query tools allow the users to find the information needed to perform any specific function. They eliminate communication difficulties between a management information system department and system users.
