Writing a CV

Requirements

There are a number of ways to structure a CV, the most common being “Chronological”, “Skills based”, “Functional” and “Academic”.

Chronological: This is the most common type and lists your work experience and education in date order. It is normally best to structure it in reverse chronological order, as potential employers are generally most interested in what you are doing now.

Skill based: Key skills or job functions are listed, with evidence following each. Work / education dates appear as a straight diary listing. This type of CV usually begins with a personal profile or career aim.

Functional is a good way of showcasing your direct experience of the main functions of the role with an emphasis on the priorities of your future employer. It is also an opportunity to sell your professional achievements, innovations and responsibilities.

Academic is used if applying for further study or research jobs in Academia. This type of structuring usually starts off as a chronological CV followed by a page outlining your research experience and interests. Include details of past research, publications and research on going. Provide details of teaching and administrative experience where relevant, along with any professional memberships and responsibilities. Details of presentations made to conferences should also be included; as should information about any prizes or awards you have received.

-112-

Раздел 4. Письмо / Section 4. Writing

There are a number of sections you can include in your CV: Employment History, Education, Positions of Responsibility, Skills and Achievements and so on.

Personal details include contact address and telephone number; e-mail address(es) if applicable; nationality if a foreign national; age, gender and marital status are purely optional and usually irrelevant.

Employment History starts with employment if the most recent education was more than a year or so ago (in reverse chronological order).

Job title, name of organization and town / city emphasise personal achievements and end results, or specific responsibilities, but not long lists of duties. Look to highlight skills used and / or developed (e.g. team work), emphasise any insights or learning points. Begin sentences with action verbs such as created, managed, developed, etc. It is not necessary to list every job.

Name of University (if a graduate) contains title of course or research topic, with level or degree classification achieved. Some details about the course you have studied, or the research undertaken, if it is appropriate to this application.

Name of college or school and town / city is mentioned if recent or relevant to the application. Brief details of relevant qualifications are given on no more than a couple of lines.

Positions of responsibility may be useful to highlight to employers by giving them a separate section. Focus on what you did / changed / achieved.

Achievements could include relevant awards or prizes or other forms of professional recognition.

Relevant skills / professional development include IT skills, specific packages you have used and indication of your level of competence.

Language skills sometimes contain details for each type of activity (reading, listening, speaking and writing) or the indication of the level of proficiency (written and spoken).

Other details include driving license, other “general” but relevant information such as courses attended.

References presuppose writing “Available on request”.

When you have completed your CV, get someone to check it for you. Re-examine your CV against the advert, job description or person specification. Remember that the best CVs are the ones that are targeted to a particular organisation or job. The CV you have just created may not be suitable for every job you apply for.

Writing a semi-formal email

Requirements

Emailing has already become one of the principle means of written communication. That is why it is very important to know the rules, norms and conventions of this type of writing. Reasons for writing emails are numerous, i.e. giving or requesting information, making complaints and suggestions, giving advice, making corrections or asking for permission, etc. Some emails contain two or more of these reasons for writing.

Writing an e-mail it is very important to choose the correct style: formal (official reports, academic articles, essays, business letters, contracts, official speeches); semi-formal (day-to-day interaction with colleagues and teachers, interviews, when talking with someone in authority or whom you respect); informal (interacting with friends and relatives, speaking or chatting online). The chosen style remains the same throughout the whole email.

In business, semi-formal email correspondence is often used between people working together at different levels within the same organization, as well as people working for different organizations. The latter usually have long-term professional relationship. If it is difficult for you to switch from a formal to a semi-formal style or you are not sure how formal your email should be, copy the style of the person who wrote to you.

All business emails should have a subject line, opening sentence, a body paragraph (or two), and a closing statement.

А subject line should summarize the main theme / topic of an e-mail. Subject lines do not require full sentences, periods (.) and articles (a, an, and the). For example:

Changes to Relocation Policy Staff Information and Wages Project Dead-line

Opening (Greeting): Openings should address the intended recipient(s) and talk about the main idea. For example:

Dear Mr Philips / Dear Ms White (polite respectful tone) Dear John / Dear Olivia

Hi Everyone / Team

The body contains the actual text message to be mailed. Body paragraphs go into more detail about the subject and may contain reasons for the email. It is important to discuss one topic per body paragraph, as the reader can only focus on one issue at a time.

Closing (Sign off):

Yours sincerely Yours faithfully Thanks

Regards / Kind regards, (your full name) Best regards, Peter Watkins

With thanks, Peter Yours

Pay special attention to the salutation and closure, as well as the efficiency of the message. It is also important to have a good informative subject heading.
