PREFACE
What is communication? Communication, in other words, is what brings and keeps people together. How does it do this? By finding common features among people. Message, medium, environment bring about this commonness and help to establish situational relationship for a certain purpose.
Lecture Notes on Business Communication are composed according to the syllabus developed by the department of foreign languages of Ryazan state radio engineering university named after V.F. Utkin and are intended to be used by the bachelor and specialist students of all directions and forms of study during the course “Business Communication”. The course covers the majority of the topics studied and provides a comprehensive and integrated approach to the study and application of written and oral business communication. This course features the chapters with the following elements:

Each chapter of the course book is self-contained, allowing for mix-and- match flexibility and custom or course-specific design. It focuses on clear objectives and skill demonstrations that can be easily linked to the syllabus and federal requirements.
Lecture Notes on Business Communication are designed to help students find and identify important information, analyze different cases, and demonstrate mastery with a final product. The students are supposed to get acquainted with the material of this course book sequentially. However, individual chapters of the course can be studied independently. In case of difficulties, we recommend to refer to the list of the references used.

INTRODUCTORY EXERCISES
1.Write five words that express what you are ready to do now and where you want to be a year from present day. Take those five words and write a paragraph that clearly explains all your answers to both “what” and “where” listing the actions that you are going to take in this direction.
2.Think of five words that express what you are ready to do and where you want to be five years from present day. Share your five words with your classmates and listen to their reaction. Do they describe you the same way as you did? Write a paragraph that addresses at least one observation.
Communication is a skill and art that summarizes the lessons learned across a wide spectrum of human knowledge. Perhaps the most time-honored form of communication is storytelling. We’ve told each other stories for ages to help feel our world, predict the future, and merely to entertain ourselves. The art of storytelling is based on your understanding of yourself, your message, and how you communicate it to the public that is simultaneously communicating back to you. Your anticipation, adequate response, and adaptation to the process will determine how much success you can achieve in communication. You were born not knowing how to write or how to speak—but in the process of living, you are constantly learning how to tell, and how not to tell, a story by means of speech and in writing.
Effective communication takes preparation, practice, and persistence. We have many ways to learn communication skills; the experience of other people is one of them. In business environment, this experience may help you cope with various unexpected cases that will surely happen in your professional activity. Classroom training with a combination of new information received from lectures, practical classes, and seminars can offer you a trial run where you come to try out new ideas and skills before you have to use them to communicate effectively in your

professional environment. Listening to yourself, or perhaps the comments of others, may help you think about the new ways to present, or perceive, thoughts, ideas and concepts. The result that you can get from this is your growth; when your ability to communicate in business will get stronger, opening for you more doors than you might ever think of.
As you learn the material in this course book, each part will contribute to the whole. The degree to which you attend to each part will finally help improve you the skills, confidence, and preparation to use communication in fostering your career.

LEARNING OBJECTIVES

1.1. What Is Communication?
The root of the word “communication” in Latin is “communicare”, which means to share, or to make common. Communication is defined as the process of understanding and sharing meaning. In the basis of our understanding of communication is the relationship that arises in the interaction between participants. This definition serves our purposes well emphasizing the process being examined in the whole course book of coming to understand and share others’ point of view effectively.
The first key word in this definition is process. A process is a dynamic activity that is hard to describe because it constantly changes. Just imagine that you are alone in your room thinking about something. The person you know (e.g., your brother) enters the room and you start some talk. What has changed? Now, imagine that your brother is accompanied by someone else, the person you don’t know—and this person listens attentively all that you say, almost as if you were giving a kind of speech. What has changed? Your perspective might change, and you can pay more attention to the choice of words you use. The feedback or response from your brother and the person you know nothing about (who are, basically, your audience) may cause you to reevaluate what you are saying. When we interact, all these factors—and much more—influence the process of communication.
The second key word is understanding: To understand means to perceive, to interpret, and to relate our perception and interpretation to what we already know. If a friend tells you a story about an accident with a bike,

what image comes to mind? But when your friend points out the window you see not a bicycle, but a motorcycle lying on the ground. Understanding the words and the concepts or objects they refer to is an important part of the communication process.
The next word is sharing. Sharing is doing something together with one or different people. You may share some common activity, as when you share in making a presentation; or you may benefit jointly from a resource, as when you and several coworkers share one big pizza. In communication, sharing occurs when you transmit thoughts, ideas, or insights to others. You can also share all these with yourself (a process called intrapersonal communication) when you bring ideas to consciousness, or figure out the solution to some problem and have “Aha!” moment when something becomes clear.
Finally, meaning is what we share through communication. The word “bike” represents both a bicycle and a short name for a motorcycle. By looking at the context the word is used in and by asking additional information, we can find out the true meaning of the word and understand the whole message clearly.
Speaking about business communication, it’s worth mentioning business dictionary and its definition of communication as “the sharing of information between people within an enterprise that is performed for the commercial benefit of the organization. In addition, business communication can also refer to how a company shares information to promote its product or services to potential consumers.” Thus, business communication is the exchange of information between parties within as well as outside of an organization that is done so for the organization’s financial gain. Whatever forms, channels, modes communication a person may use, he has to make it effective. It can be done by the following 7 principles formulated by Francis J. Bergin and coined as 7c`s of effective communication. The list is not exclusive, but illustrative – more can be added to it. According to Francis, communication should be:
