Allan: That’s right. But in fact I don’t need to book the stand straight away. The first thing I do is talk to the copywriter of the catalogue we produce and brief her on what should go into it. Then it will normally take her 20 days to wrote all the text and produce the copy.

Bennie: I see.

Allan: At this stage I also brief the art department and the design team will do specimen layouts. As soon as they have the final copy they produce final lay outs. I set them a deadline of 25 days. On the whole they’re very good, they keep to the time scale but I monitor progress and deal with any problems that might crop up.

Bennie: What sort of problems?

Allan: Well, normally everything goes smoothly but there could be a software problem or possibly someone having to be transferred to another assignment or someone off sick.

Bennie: Uh-huh.

Allan: If they are running behind schedule I gently remind them that we need to respect the dates. When the layouts are ready the artwork is commissioned, and at the same time, we do any necessary photography. I try to persuade colleagues to pose for photography because an agency is expensive. And it’s round about now that I get people to start work on designing the stand, because that can take three weeks. Then I get my secretary to make any corrections to the catalogue proofs and she does that within the next ten days. While she’s doing this I order any equipment that we will need for the stand because the supplier will need 30 days’ advance notice for it to be delivered. At the same time the disks are sent to the printer’s and the printing is done over the next 28 days, and if all goes well comes back in time for us to shop everything has gone to plan, this coincides with the delivery of the equipment I’ve ordered and it goes off together with the catalogues.

Bennie: That sounds very complicated but you seem to be extremely efficient.

Allan: Well, I don’t like leaving things to the last minute — you can’t afford to because if you did, nothing would be done on time and the whole thing would be chaos, wouldn’t it?

CAREERS IN THE HOTEL INDUSTRY

A hotel is a complex operation. It includes places for people to sleep and eat and shop; there are often recreational facilities and areas for public gatherings. In fact, a hotel often can be considered as a small city within its own walls and grounds. Because of its complexity, it is not possible to speak of a single career in the hotel industry; there is instead a wide variety of different careers.

The top people in the hotel industry are managers. The majority of them hold management positions in individual hotels, but some work in the executive offices of the hotel chains. The principal function of management is to coordinate all the different activities that take place in a hotel. The managerial personnel must therefore have a broad range of experience in the various departments of a hotel. Today, several universities offer courses in hotel management. The trend in recent years has been to select management trainees from the graduates of these courses.

Interviewer: Right, Joan. Let me tell you a little about the job first, and then you can tell me about yourself, right?

Joan: Yes, fine.

Interviewer: Good. Well, the job title is Assistant Contracts Manager. Basically, it involves visiting hotels, assessing them according to our own rating system, and deciding if we should include them in our brochure. As the advertisement said, you would be based in London, but you would spend an equal amount of time abroad — France and Spain, mainly, but there would be some trips to Hungary and Bulgaria.

Joan: Mmm. Does that mean I would work alone? Interviewer: No. To start with you would work with the Con-

tracts Manager — you’ll meet her later — er, but you wouldn’t be directly involved in negotiating with hotels at that stage. However, at the end of six months we would assess your progress, and if we felt you were ready, we would allow you more independence. You would still report to the Contracts Manager, of course. Any questions so far?

Joan: No. I think that’s clear.

Interviewer: Now I see from your CV that you spent two years working as a rep for Thomson, is that right?

Joan: Yes. I worked in Tunisia for the first year, then the following season I was transferred to Bodrum in Turkey. I got to know all the hotels quite well.

Interviewer: Yes. I wanted to ask you about that.

ACTIVITY

It usually used by the candidates on the senior positions in management staff or for working abroad. Your prospective employer wants to get the detailed information. Usually you provide him with a photo, your detailed address, telephone number, personal and passport details and a full characteristic of your education and qualifications.
