Effective managerial communication

Effective managerial communication – written or oral – is based on effective strategy. To get that desired audience response, you need to think strategically about your communication - before you start to write or speak. Strategic communication is based on five interactive variables: (1) communicator (the writer or speaker) strategy, (2) audience strategy, (3) the message strategy, (4) channel choice strategy, and (5) cultural context strategy.

Communicator strategy includes your objectives, style, and credibility.

Audience strategy - techniques for gearing your communication toward your audience's needs and interests - is possibly the most important aspect of your communication strategy, because it has the most effect on increasing your chances of being understood and of achieving your objective. Some communication experts recommend performing your audience analysis first; others recommend performing your communicator strategy first. All experts agree, however, that the two strategies interact with and affect one another. So, perhaps the best idea is to perform these analyses concurrently.

Structuring message is a third variable in your communication strategy. Ineffective communicators simply state their ideas in the order they happen to occur to them; effective communicators use structure strategically. When you think, all kinds of ideas occur to you - some good, some bad, some complete, some fragmented; the end result of the thought process is your conclusion. But you don't want your audience to have to wade through all the false starts and disjointed ideas you went through during the thought process, so when you communicate strategically, you emphasize and organize your ideas clearly for your audience.

Instead of structuring your message as ideas happen to occur to you, ask the following questions: (1) How can you emphasize? (2) How can you organize?

Channel choice refers to the choice of medium through which you send your message. In the past, this strategic choice was basically between two channels: writing and speaking. Today, many more channels exist - including fax, email, voicemail, electronic meetings, and video teleconferencing. These new channels have changed how we think about channel choice. For example, traditional writing is usually fairly reserved and controlled; email, however, may be informal and spontaneous. Before you choose a channel from among this expanded set of alternatives, think about these general questions. Do you need to: Be formal or informal? Receive an immediate response or not? Elicit high audience participation or not? Have, a "rich" communication or not? Have a permanent record or not? Use a channel preferred by your audience or their culture?

Every aspect of communication strategy we have discussed so far will be greatly influenced by the cultural context in which you are commu­nicating. These cultural differences could result from different coun­tries, regions, industries, organizations, genders, ethnic groups, or work groups. The danger in cultural analysis is stereotyping: saying all the people in a group behave a certain way all of the time, and using negative phrasing, such as "all British people are cold." A more useful approach is to think in terms of cultural norms: saying most people in a group behave a certain way most of the time, expressed as a behavior, not as a judgment, such as "the British tend to use formal greetings.”

Business people communicate with a variety of individuals and groups every day. These important audiences include employees, shareholders, government officials, customers, community leaders, the news media, suppliers, and anyone else in a position to help or hinder our work or our business operating environment. Consistently effective communication, based on trustworthy behavior, is essential to developing the understanding and support among these audiences that result in their contributing to company success. The ability to communicate well is becoming an increasingly valued competence in the business world.
