Explanatory notes
1. Деловое письмо должно быть исчерпывающе кратким, ясным и вежливым. На английском языке письмо обычно состоит из следующих составных частей:
1) название и адрес отправителя письма, штамп, заголовок;
2) место и дата отправления;
3)название и адрес получателя письма;
4)вступительное обращение;
5)основной текст;
6)заключительное приветствие;
7)подпись отправителя.
Практика деловой переписки выработала четкое взаиморасположение на бумаге всех этих составных частей письма. Они обычно располагаются следующим образом:

В приведенных выше письмах и в последующем изложении дается такое обычное стандартное расположение, которого и нужно придерживаться в практической официальной переписке.
2. Даты обычно обозначаются одним из следующих двух способов:
а) 17th March, 1980 (читается: the seventeenth of March, 1980);
б) March 17, 1980 (читается: March the seventeenth, 1980).
3. Название получателя письма пишется в левом верхнем углу на две-три строчки ниже даты письма. Если в названии получателя имеются собственные имена, то перед названием такой фирмы ставится слово Messrs. , являющееся сокращением французского слова Messieurs. Перед названием организаций и фирм, не содержащих собственных имен, слово Messrs. не пишется, а часто ставится предлог То и определенный артикль. Иногда после названия фирмы указывается род ее деятельности, например: Messrs. Harry Cross & Co., Ship Agents — фирма Гарри Кросс и компания, Судовые Агенты. Адрес получателя располагается ниже на последующих двух строчках, колонкой без отступа от поля слева.
В адресе на первой строчке сначала пишут номер дома, затем— название улицы; на второй строчке — название города и страны. Так же пишут адрес и на конверте. Если письмо адресуется отдельному лицу, то перед фамилией пишут Mr., Mrs. или Miss. Первое сокращение — при обращении к мужчине, второе — к замужней женщине и третье — к незамужней женщине.
4. Вступительное обращение Dear Sirs (или Dear Sir — при обращении к одному лицу) является обязательной и официальной формой вежливого обращения, принятой в Англии и других странах, ведущих переписку на английском языке. После обращения Dear Sirs или Dear Sir всегда ставится запятая. В США принято писать в обращении Gentlemen и ставить после него двоеточие, Вступительное обращение не пишется в текстах деклараций и заявлений.
5. Основной текст письма пишется в виде отдельных абзацев, в каждом из которых выражена вполне законченная, сжатая, но ясная мысль.
Абзацы должны быть связаны между собой четкой логической последовательностью.
Наиболее употребительное заключительное приветствие Yours faithfully (большей частью в Англии) или Yours truly (большей частью в США) ставят в конце письма в правом нижнем углу перед подписью. Первое слово этих заключительных приветствий, которые, так же как и вступительные обращения, считаются обязательными, пишут с заглавной буквы и после приветствия ставят запятую,
В деловых письмах принято писать с прописной буквы следующие слова:
а) имена существительные собственные, а. также имена прилагательные, обозначающие национальную и государственную принадлежность:
Russian, English, French и т. п.
б) все слова, включая сокращения, в названиях фирм и организаций, в названиях отделов организаций, за исключением предлогов, союзов и артиклей:
The Black Sea Shipping Company, Odessa, Ukraine. и т. п.
в) все слова в обозначении занимаемой должности, за исключением союзов, предлогов и артиклей:
Master of . . ., the First Mate, Chief Engineer, the Second Mate, Director, Captain и т. д.
г) все слова, включая сокращения, в названиях городов, штатов, республик, улиц, дорог, бульваров, площадей, пристаней, причалов, районов, зданий, гостиниц, этажей, квартир, комнат:
17. Fenchurch Street, London, England; Hotel International, 3rd Floor, Room 275 и т. п.
д) названия месяцев и дней недели (полные и сокращенные): Saturday, March 28, 1960.
е) первое слово в заключительном приветствии: Yours Faithfully, Sincerely yours и т. п.
ж) названия товаров, торговых марок и некоторых документов: Iron, Leather, Coai, Cvabmeat Chatka; Bill of Lading, Letter
of Guarantee, Charter Party, Cargo Plan и т. п.
Иногда в деловых письмах пишут прописными буквами названия судов (в этом случае — без кавычек), фирм, наименования товаров, названия городов и т. д.: the m/v SLiKjfiONA; CRUDE OIL и т. п.
Вежливая форма обращения please + Infinitive без частицы to соответствует русскому традиционному канцелярскому выражению просим (сообщить, выслать, указать и т. д.). Аналогичными вежливыми формами обращения, весьма употребительными в деловых письмах, являются выражения:
We should (would) like you to inform us.
I would ask you kindly to inform us.
Мы просим Вас сообщить нам.
Я просил бы Вас не отказать в любезности сообщить нам.
10.Следует запомнить следующие стереотипные выражения, которыми обычно начинается деловое письмо:
а) для сообщения какого-либо факта
